To announce a new seminar on the web site, add a new talk entry at https://talks.cam.ac.uk/show/index/5695 How to send out email announcements: The mailing list header and message template is currently in the Security Group Subversion repository at svn+ssh://wwwsvn@svn-www.cl.cam.ac.uk/security/seminars/maillinglist It contains shell scripts ./test.bash ./announce.bash ./remind.bash that call further scripts send.bash and format_email.py to retrieve talk metadata from the talks@cam server (based on the integer talk-id provided on the command line), format a plain-text email based on template files found in the same directory, and email these out via cl-security-seminars@lists.cam.ac.uk Therefore, talks need to be added on talks@cam before an email can be generated. The mailing list can be managed with Sympa at https://lists.cam.ac.uk/sympa/admin/cl-security-seminars Timing of announcements: - As soon as information is available: Put abstract onto https://talks.cam.ac.uk/show/index/5695 - T minus 1 week: * Email with the talk abstract to the list of Security Seminar announcement subscribers (which includes all of security-research and many more). * Post a printout of abstract web page on notice board near the lab entrance * Give a large-font A4 printout of abstract web page to security course lecturers to display to students before their lectures - T minus 24 hours: Email a brief (3-line) reminder of the speaker, talk title and URL of the abstract to security-research@cl (for the benefit of forgetful locals); this email might also go to the mailing lists of related research groups if the topic suggests substantial interest. Empirical evidence suggests that the T - 24 h email has the highest impact on attendance and the posting near the entrace the lowest. Regular jobs ------------ - Nag Ross, Alice, Robert and others about suggested speakers a few weeks before the start of each term - Send a short reminder email to security-research about 24h before the talk - store recordings of talks in /anfs/www-video/seminars/security/ (see README.txt there for detailed instructions) - store talk slides in /anfs/www/html/research/security/seminars/archive/slides - Update local archive pages and metadata archive of talks@cam XML data regularly by calling "make update-talks.xml" in archive/ Travel expenses --------------- We do not have a regular budget for reimbursing travel expenses for seminar speakers, but sometimes reimbursements can be made available from departmental funds.
